With Webware Pay, you can set up recurring payments for your customers using Subscriptions. This is perfect for services billed monthly, quarterly, or on any regular schedule. Subscriptions are fully integrated into your Webware dashboard, making it easy to manage all your customer billing in one place.

You can also customize the subscription terms, add products, set trial periods, and choose whether payments are auto-charged or manually invoiced.


๐Ÿ”” What to Know Before You Start

  • Subscriptions are only available if Webware Pay (Stripe Connect) is set up and active.

  • You can create subscriptions with automatic payments (credit cards on file) or subscriptions where the customer receives an invoice and pays manually each cycle.

  • Subscriptions can include:

    • Products from your Webware store.

    • Custom items you add manually.

  • Subscription payments are automatically logged within Payments > Subscriptions.

  • You can offer free trial days before payments begin, if needed.

  • You can manage active, scheduled, and cancelled subscriptions from the Subscriptions tab.

  • All subscription activity is logged within the customer record, so you have full visibility into the billing history.


๐Ÿ› ๏ธ Step-by-Step: How to Create a New Subscription

  1. Log in to your Webware Dashboard.

  2. From the side navigation menu, click on Payments, then select Subscriptions.

  3. Click the Create Subscription button at the top right.

  4. In the subscription setup screen, complete the following fields:

    • Customer: Search for an existing customer or add a new one.

    • Start Date: Select when the subscription begins.

    • Billing Frequency (Cycles): Choose how many billing cycles the subscription will run (monthly, quarterly, yearly, or custom).

    • Free Trial Days (optional): Set if you want to offer a free trial before the first payment.

  5. Click Add Product to add items to the subscription. You can choose products from your Webware store or add custom products.

  6. Choose how the customer will pay:

    • Automatically charge a payment method on file (recommended for subscriptions).

    • Email an invoice to the customer to pay manually.

  7. If needed, click Actions > Add Tax Rate to apply taxes.

  8. Once all details are complete, review everything and save the subscription.
